How to prepare a document for templating?

Templating allows you to generate as many personalised copies as you need from a single template document.

You can automatically create personalised documents with your holders' details (surname, first name, date of birth, etc.) and your transactions' details (dates, amount granted, etc.).

Here are the steps to follow in order to prepare a document for templating:

1️⃣ Open your document on Word (in DOCX format).

2️⃣ Insert the smartfields.

💡 Smartfields are fields to be customized. Find the list of smartfields available on Equify in this article.

3️⃣ Insert signature fields if the document is to be signed.

💡The electronic signature fields are listed in this article.

4️⃣ Upload the document in DOCX format to Equify after checking the following elements:

💡For your document to be identified as a template:

🔸Remove comments, headers and footers from your document.
🔸Close the brackets } of your smartfields: an open smartfield prevents the document from being identified as a template.

5️⃣ Press Save. You can now acces your document in your Equify library!

💡When you click on the document in your library, check that the smartfields are detected and valid. Unrecognised smartfields are grayed out. They will be replaced by spaces during the templating.
